Phone bookings · Restaurants

The phone rings in the middle of service.

At 12:30, and again at 7:45 pm, nobody is free to pick up. Janet answers for your restaurant: bookings taken against your real capacity, large parties left for you to decide, every call sorted.

Don't take our word for it — call her. It's an AI that picks up. Our AI receptionist · +32 460 25 44 13

The situation

Missed calls at exactly the hours the room is full

A restaurant phone has a talent: it rings at 12:30 and at 7:45 pm, exactly when the room is full and everyone is moving. Nobody here is employed to answer it. The owner picks up, or a waiter — so someone walks away from a table while two guests wait for the bill.

And it is never one call on its own. At peak time the line is already taken: the second caller gets an engaged tone, hangs up and books next door. The hours you get the most calls are the hours you can least afford to answer. That is not anyone's fault — it is the shape of the job.

The table plan

A table plan, not just a diary

We took our cue from restaurant booking software, then plugged it into the one place none of it reaches: the phone. Online tools take your web bookings. The calls still ring out into an empty room.

No generic diary thinks like this. The dotted block with the little hand is a walk-in taken at the counter and blocked by hand — the assistant books around it, never on top.

Large parties

Large parties follow your rule

A table for two books itself. A table of twelve on a Friday night commits the room, the kitchen and the service — that deserves a real decision, not a snap call between two plates.

During service

Automatic booking, without leaving the floor

Covers, time, name, notes: Janet runs the conversation the way you would, checks the table plan and confirms during the call. An allergy, a birthday, a high chair? It goes on the booking, and you read it before the guests arrive. She switches into the caller's language on her own.

Real capacity

She never oversells your dining room

The table plan knows your covers service by service, and applies your safety margin and your minimum notice if you want one. A booking taken at the counter, a regular who sends a message? Block the seats by hand: the counter drops, and the assistant follows the same second.

1Real capacity, service by service
2Safety margin and minimum notice
3Manual block for counter bookings

She will never promise a table that no longer exists. That is what stops double booking.

Every call

Call handling that sorts every call to the restaurant

Not every call is a booking. A supplier, a job application, a question about allergens, a guest moving their time: each one is identified, filed, transcribed and summarised. After service you read back what was said, and you see at a glance what deserves a call back.

Bookings → table plan
Suppliers, applications → filed messages
Time changes → diary up to date
Every call → transcript and summary

Compatibility

Already have booking software? Keep it.

Those tools take bookings online. None of them takes the ones that arrive by phone. Your software keeps receiving web bookings exactly as today, and Celya covers the channel it does not reach. You simply block, in the table plan, the covers booked through the other channel — and the two never step on each other.

An addition, not a replacement: you change nothing you already have.

90 Our own line

What a line that always picks up produces.

Measured on our own number, as of 28 August 2026: 90 bookings recorded, 66 of them placed by the agent during the call. And across 140 timed calls received, 10 pairs overlap — up to 3 conversations at once, where one person can only hold one.

What we found with restaurant owners
Setting up

Nothing to change on your side

No new phone system, no hardware, no change of operator.

1
You keep your number

The one on your window and your menus. You forward your calls when you want — during service, in the evening, or all the time — and switch back at any moment.

2
Nothing to install

No switchboard to replace, no hardware, nobody coming out to the restaurant.

3
We set it all up for you

Your services, your covers, your table durations, your rule for large parties.

4
Live in a few days

Not weeks of project work.

Prefer to keep the two apart? We can give you a dedicated booking number, and your main line stays exactly as it is.

Accessibility

Cover for the hours that actually ring

A traditional phone answering service charges by the hours it covers: the wider the window, the bigger the bill. There are salaries behind it, so most restaurants cover nothing at all and the phone rings out through both services.

We do not have that constraint. That is what lets us cover lunch, dinner, late evenings and weekends — the exact hours when nobody in the room can pick up.

No commitment, and nothing to change in your setup.

Restaurant owners' questions

Phone bookings in a restaurant: your questions

Does she handle groups and large parties?
Yes, on your rule. Up to the threshold you set, she books automatically. Above it — ten covers, twelve, whatever you decide — either she takes the request and you call back, or she puts the call straight through to you. A large party commits your whole room, so the decision stays yours.
If I take a booking at the counter, does she know about it?
Yes, as soon as you block it in the table plan — a few seconds on your phone. The cover count updates and the assistant follows immediately: she will never promise a table that no longer exists. That is what stops double booking.
Does she note allergies and special requests?
Yes. An allergy, a vegetarian dish, a birthday, a high chair, a table on the terrace: the note is attached to the booking and you read it before the guests arrive. On a precise question about a dish she answers from your own information, or takes a clean message if it goes beyond that.
I already use booking software. Does this work alongside it?
Yes. Your online tool keeps working exactly as before. Celya only handles the phone, the channel booking software does not cover. You block in the table plan the covers taken through the other channel, and the two never step on each other.
Do I keep my restaurant's number?
Yes. You switch on call forwarding to the assistant, either permanently or only during service, when nobody can pick up. Prefer to keep the two apart? We can give you a dedicated booking number. Either way, you turn it off whenever you want.
